Final check before you share

What to include

Who is inviting. Host names or the family name, written as you want them to appear.

What and when. The ceremony or gathering name, full date and guest arrival time. List puja and meal times separately when both are planned.

Where to come. House or flat number, building, street, area and city. Add the correct entrance or a nearby landmark if needed.

How to reply. One contact name and phone number. Add a reply-by date only if you need one.

Confirm the ceremony timing with your family or officiant before sending. These are wording templates, not a muhurat calendar. If you are hosting a social get-together without a puja, the casual English sample is a better fit.

Keep one shared details block so the two languages cannot accidentally show different dates, times or addresses. Ask a family member who reads Hindi comfortably to check names and spellings.

Turn the message into a short invitation video

Break the wording into four readable screens. Give each screen enough time to read on a phone; the length depends on the text and design.

Screen 1: Griha Pravesh invitation / गृह प्रवेश निमंत्रण, followed by the host names.

Screen 2: One welcome sentence from your chosen sample.

Screen 3: Date, puja or gathering time, and meal time if applicable.

Screen 4: Full address and reply contact. Send the map link as accompanying message text.

Final check before you share

Replace every bracketed field. Write the month in words, label morning or evening clearly, check the weekday against the date, and proofread every name. Keep the invitation details in the accompanying message too, so guests can copy the address and phone number.

Clear wording for every wedding function

A short dress-code line can save guests a round of questions. Say how dressed up you would like them to be, whether a colour theme is optional, and anything they need to know about the venue. Keep the wording welcoming and specific to your celebration.

Use the examples below in your card, invitation PDF or accompanying message. They are illustrative wording options, not rules for every wedding. Replace brackets and keep only the details that are true for your event.

Make the dress code clear

Separate the level of formality from the colour theme. “Formal attire; pastel colours optional” is clearer than “pastel elegance”. A guest can then understand the request without having to buy a particular colour.

An optional colour theme

Our colour theme is [colour]. Join in if you like, or wear a colour you feel good in.

A requested level of formality

Dress code: formal. Traditional or Western formalwear is welcome. Our [colour] theme is optional.

A confirmed venue requirement

For entry to [venue], [specific requirement] is required. Please contact [host and number] if you have questions or need help planning for it.

Use the last version only after checking the venue’s actual requirement. Explain any arrangements the host has confirmed, such as where footwear is left or whether head coverings are provided. Do not present a photo theme as a venue rule.

When you do not want a dress code

There is no set dress code. Wear something you feel comfortable celebrating in. We are looking forward to having you with us.

Wording for each wedding function

Give each function its own line if the requests differ. Yellow, green and sparkle are optional ideas in these examples, not compulsory traditions. You can use the same approach with any theme your hosts have chosen.

Haldi

With a yellow theme

Yellow is our suggested colour for the Haldi. Any colour is welcome, so please wear what feels comfortable.

With a practical note

Our Haldi includes turmeric play, so splashes are possible. There is no colour theme.

Use the second line only if that activity is planned, so guests know what to expect.

Mehndi

With an optional theme

For our Mehndi, green or floral touches are welcome but entirely optional. We would love you to join us in whatever feels festive to you.

Sangeet

For an evening of dancing

Festive evening wear for the Sangeet. Sparkle is welcome but optional. Come ready to dance!

With a simple dress code

Sangeet dress code: cocktail attire. No colour theme.

Wedding ceremony

Welcoming different styles

Formal attire requested. Traditional or Western formalwear is welcome. Please choose a style you feel comfortable celebrating in.

Add any confirmed ceremony or venue requirement separately. A broad phrase such as “traditional dress” may leave guests unsure which tradition you mean.

Reception

For a formal reception

Please join us in formal evening wear for the reception. There is no colour theme.

When guests can keep the same outfit

The wedding and reception have the same dress code. There is no need to change between the two.

Welcome guests from different backgrounds

Speak to all guests rather than assigning outfits by gender. Avoid blanket claims about colours that are always allowed or forbidden. If your family has a specific request, explain it plainly and give guests a person to ask. Make room for religious clothing, accessibility needs and what guests already own.

Where to put the dress code

Put a short line beside the relevant function’s date, time and venue. If several events have different themes, use a separate details page rather than squeezing everything onto the main invitation. Include only the functions that the recipient is invited to.

For a video, keep the line on the relevant event scene long enough to read. For an image card, repeat a longer explanation in the accompanying message. Check the exported file on a phone, where small print can be easy to miss.

Practical details belong here too. Paperless Post’s invitation wording guide suggests including relevant weather or footwear considerations. For example, if your reception is on a lawn, say so rather than assuming everyone will infer it from the venue name.

Check before you send

  • Is every optional theme clearly labelled optional?
  • Have you checked any venue or ceremony requirement with the people responsible?
  • Does each clothing note belong to the right function?
  • Do the invitation and accompanying message agree?
  • Can guests read the wording easily and contact a host with questions?

How to Create a Wedding RSVP Google Form

A short RSVP form keeps names, attendance and guest counts in one place. Build it in two sections so guests who decline can finish without answering meal or headcount questions.

1 Start a blank form

Open Google Forms, sign in and choose Blank form. Add the couple’s names, wedding date, RSVP deadline and a host contact for changes.

Example title: Aarav and Meera Wedding RSVP. Description: Please reply by [date]. Submit one response per invitation and include only the guests named on it. For changes, contact [host contact].

2 Add only useful guest questions

Use Add question for each field and turn on Required only where needed. Put the attendance question last in the first section.

For several functions, collect attending names for each event the household was invited to. A single shared headcount can hide different wedding and reception totals. Ask about meals only if choices are offered. Let guests discuss allergies or access needs privately with the host.

3 Send each answer to the right section

Keep names and attendance in Section 1. Click Add section in the right toolbar, name Section 2 Attending details, and place the guest names, count and meal questions there.

Return to the attendance question in Section 1. Use Multiple choice, with two answers: Yes, one or more of us will attend and No, we are unable to attend. Open the question’s three-dot menu and select Go to section based on answer.

  • Yes → Section 2, Attending details.
  • No → Submit form. Do not require a reason for declining.
  • Section 2 → Submit form. It is the final section in this two-section setup.

Branching works with Multiple choice or Dropdown questions. It moves guests between sections, so keep the attendance question at the end of Section 1.

4 Check access and privacy settings

  • For a form guests can use without a Google account, keep Limit to 1 response off. That option requires sign-in.
  • Leave automatic email collection off if you use the optional contact question above. Verified email collection involves a Google Account.
  • In Settings → Presentation, keep View results summary off so guests do not see other people’s answers.
  • Set a confirmation message that suits both answers: Thank you. Your RSVP has been recorded. For changes, contact [host contact].

Use only the headcount choices you need. A general form does not enforce a different guest allowance for every household, so reconcile names and counts with the invitation list.

5 Publish and test the guest link

When the questions are ready, select Publish, then Manage to check responder access. For guests without Google accounts, choose Anyone with the link under General access if available. Anyone receiving a forwarded link can then open it. Use restricted access instead when that matters more, and check that your guests can sign in.

Finish publishing. Then select Published → Copy responder link. Copy the guest link, not the address of your editing page. A work or school account may have additional sharing restrictions.

Google’s demo shows Specific people. Use Manage to choose the access you intend; Copy responder link supplies the guest URL.

Before sending invitations, open the responder link on a phone and in a private browser window where you are signed out. Check all four points:

  • The form opens without an unexpected permission or sign-in request.
  • A Yes reply reaches Attending details; a No reply skips them.
  • Submit one clearly labelled TEST response for each route in your own form. Confirm both arrive under Responses.
  • The confirmation message and host contact are correct. Exclude test submissions from your final count.

6 Read responses and count guests

Open Responses for the summary, then Individual to check each submission. Use Link to Sheets for a spreadsheet, or the response menu to choose a destination. Keep the form’s editor access and the linked sheet limited to the hosts who need them.

The number of responses is not your guest count. Total the attending guests, check duplicate households and record separate counts for each function. Opening the RSVP link alone does not record attendance.

At the deadline, stop collection through Published → Accepting responses. You can also set a closing date and time. For missing replies, use our polite RSVP reminder messages.

How to Add a QR Code to a Wedding Invitation and Test It

A QR code can open your venue map, RSVP form or wedding website. Choose one destination, add the code to the invitation, then test the file guests will actually receive. Keep a direct link alongside it for easy access on the same phone.

1 Choose and check the destination

Open the exact guest-facing link first. Check the correct venue branch, the right RSVP form or your published wedding page. Do not use an editing link or a file that only your account can open. Test access while signed out.

2 Create and download the code

Open the Adobe Express QR generator. Paste your destination in Enter your URL, then select Generate QR code.

In the generator, confirm the URL, choose a plain dark code on white and select PNG in File format. Use Download to save it. Keep the downloaded file rather than taking a screenshot of the code.

These controls follow Adobe’s generator instructions. If your device is unsupported, use a supported device or browser; do not continue from an error screen.

3 Place the code without damaging it

Add the downloaded PNG to your invitation as an image, or send it to your designer with the destination link. Resize from a corner so it stays square. Leave its white border intact; keep flowers, text and frames outside that border. Do not stretch, crop or cover the code with a logo.

Add a short label such as “Scan for venue directions” or “Scan to RSVP”. Use a separate, clearly labelled code for each destination. If you need many links, a single guest-facing wedding page may be simpler.

The clear border is called the quiet zone. DENSO WAVE specifies four small QR squares on every side. Keep the generator’s full margin rather than trimming it.

This fictional sample opens https://3video.in/ and collects no RSVP response. Its QR pattern was decoded from the exported sample PDF image; this is not a claim of testing on every phone.

For your real invitation, replace the demo destination with your own checked link and generate a new code. The label must match the page that opens.

4 Test before sharing or printing

  • Export the final PDF or image. Test that export, not only the design preview.
  • Scan it from another device with the phone camera or a QR reader. Tap the result and check the actual page, venue or form that opens.
  • Send the invitation to yourself through the channel you will use. Test the received file too; resizing or compression may affect the code.
  • Ask another person to try the link without your signed-in account. Confirm the guest can see what they need without an unexpected access request.
  • If printing, test an actual-size proof on the intended paper. Increase the code size if scanning is unreliable; there is no one size that guarantees every design will scan.

If scanning fails, try a larger code, restore the clear white border and replace a blurry copy with the original PNG. Keep strong contrast and remove overlays. Re-test after every change.

Make same phone access easy

Some phones and apps can recognise a QR code in a saved image. A direct tappable link is still easier when the invitation is already open on that phone. Add a clickable link in a PDF, or put the link in the message accompanying an image card.

Copy ready message for your designer

Please add a QR code for [checked guest link], labelled “[Scan for venue directions / Scan to RSVP]”. Keep it square with a clear white border and include a clickable or accompanying plain-link option. Please send the final exported file so I can test it before approval.

Will the code stop working

Adobe’s generator creates a static QR code: its encoded URL cannot be changed afterwards. A different URL needs a new code. The code itself does not expire, but its destination can be deleted, restricted or moved, so check the link again before sending.

What to check before approving your final invitation

Before you say “approved”, check the exact file your guests will receive. A beautiful design can still carry a wrong date, a missing function or an unusable map link. Use this checklist for a wedding video, PDF or image card, then ask one other person to read it too.

1 Check names and every event

Compare the couple’s names, parents’ names and family names with the spelling supplied by each person. Check titles, initials and Hindi or other-language text carefully. Remove sample names, placeholder text and events you did not request.

For each function, check its own date, year, weekday, arrival time and venue. A correct wedding page does not mean the mehndi or reception page is correct. Write AM or PM, and use the month in words to avoid ambiguity.

Example: “Friday, 14 February 2027” is inconsistent. That date falls on Sunday. Confirm which detail is wrong before asking the designer to change it; do not guess.

2 Check the venue and the reply details

Confirm the full venue name, hall or branch, address and city. Check the reception separately if it is elsewhere. Confirm the RSVP contact and deadline with the host; use a country code when international guests may call.

Open the map link in the final file and compare the location with the written address. For an RSVP form, test the guest link, not the editing link. Try it without the owner’s signed-in account. If access is blocked, ask for it to be fixed before approval.

3 Review on a phone from start to finish

Send the exported invitation to yourself in the way you plan to share it. Open the received file on a phone. Names, times and addresses should be readable without repeated zooming; check for cut-off lines, poor contrast and incorrect photo crops.

For video, watch every scene with sound. Read the details at normal playback speed and check that the final frame is complete. For a PDF, open every page and test each link. For an image card, put clickable links in the accompanying message; printed button text alone will not open a link.

4 Give one clear final response

Check the latest version after corrections, including nearby text that may have shifted. Make sure the video, PDF, image card and accompanying message agree. Ask one family member to check unfamiliar names and another person to read the invitation fresh.

Before approving, confirm these six things:

  • All names and language are correct; no placeholders remain.
  • Every function has the correct day, date, year and AM or PM time.
  • Venue names, addresses and map destinations match.
  • RSVP details work for a guest, where included.
  • The received file is readable, complete and uses the intended photo and audio.
  • The version and invited events are the ones you intend to share.

Copy ready correction message

Please update [filename/version]: on [page number or video timestamp], change “[current text]” to “[correct text]”. Keep the rest unchanged. Please send the revised file for a final check.

Copy ready approval message

I have checked [filename/version], including the names, event details, layout and links where included. I approve this version.

Only send the approval message after the checks are complete. Use the exact filename or version so an older preview cannot be mistaken for the approved one.

One last practical check

If you spot an error after approval, contact the designer before distributing the invitation. Ask what can still be corrected and whether any extra time or charge applies. Do not assume that a new export has automatically replaced files already shared.

How to Add Google Maps and RSVP Links to a PDF Invitation

A PDF invitation can do more than display a venue and phone number. Add a map button that opens the correct location and an RSVP button that opens your reply form. The button needs a real hyperlink; drawing a button or sharing its screenshot does not make it clickable.

Jump straight to the sample invitation

1 Copy the correct Google Maps link

Find your venue in Google Maps and check its full address, branch and entrance. On desktop, open the selected place and choose Share, then Copy Link. Some layouts use the map menu: Share or embed map > Send a link > Copy link. Copy the link, not the Embed a map HTML.

Open the copied link in a separate tab. Does it show the right venue rather than a similarly named hotel? Keep the written address on the invitation too, so guests have a fallback.

Example Two functions at different venues? Use separate labels: Wedding venue and Reception venue. Attach each venue's own link instead of reusing one map button.

2 Prepare the RSVP destination

Create a short reply form with Guest name, Attending or not attending, Number of guests and Functions attending. In Google Forms, check responder access, publish the form, then use Published > Copy responder link. Do not copy your editing-page address.

Test the link in a signed-out browser. If your guests should not need an account, check restrictions; Limit to 1 response requires Google sign-in. Keep View results summary off if you do not want other respondents seeing guest answers.

A PDF link only opens the form. Attendance is recorded when the guest completes and submits it, not when they tap RSVP.

3 Add the links to the PDF

Open the invitation in desktop Adobe Acrobat with PDF editing available. In Adobe's documented interface, choose Edit, then More under Add Content, then Link > Add or edit a link. Drag a rectangle over the full map button, not just its first word.

In Create Link, choose Open a web page. Continue with Next, paste the map URL and confirm. If your artwork already has a button border, an invisible link rectangle keeps that design clean. Repeat over the RSVP button using the form's responder link, then save a new PDF copy.

If these editing tools are missing, check your Acrobat plan or ask your invitation designer to add the links. Reading a PDF and editing its links are different tasks.

4 Test the file guests will receive

Close the editor and open the saved PDF. Test both buttons on a phone and on a computer. Confirm the map location, form access and the complete tappable area. Make one test response in your own form and check that it arrives; remove that test response before counting guests.

Share the PDF file itself, not a screenshot or JPG export. If an in-app preview does not activate links, download the PDF and open it in a PDF reader. If the wrong place opens, replace the URL; if a form asks for permission, fix responder access; if nothing happens, check that the exported PDF still contains the link.

For your sending message, use: Open the attached PDF, tap View wedding venue for directions, and use RSVP by 10 December to reply.

Blurry Invitation Video on WhatsApp: How to Fix It

If your invitation looks clear on your phone but soft after sending, try WhatsApp’s HD option or send the saved video as a Document. If the original file is already blurry, changing the sharing method will not bring back the missing detail.

Start with one test, not another export: play the original outside WhatsApp, then compare it with the copy received by a trusted person. Check the names, date, time and venue. Those details matter more than whether the background animation looks perfect.

Find where the blur starts

Open the final video in your phone’s gallery or video player, not just its chat thumbnail. Pause on the details screen and read it at a normal viewing size.

  • The original is blurry: check that you downloaded the final export rather than a preview, screen recording or old copy. If the face is soft but the lettering is sharp, ask for a better source photo. If everything is soft, ask the designer to check the export.
  • The original is clear but the received video is soft: test a different sharing method below. WhatsApp says shared media is usually compressed and can be lower quality than the original.
  • The video is clear but the address is difficult to read: the layout may need larger text, stronger contrast or more reading time. A higher-quality send alone will not solve tiny lettering.
  • You only have a copy from another chat: ask for the saved final file. That copy may already be reduced quality; forwarding it cannot recreate detail that is missing.

Try HD for chat sharing

HD is a useful first test when you want guests to receive the invitation as chat media. It can improve clarity compared with Standard quality, but do not treat it as a promise of the original file’s quality.

  1. Open the intended chat. On Android, use the attachment button and Gallery. On iPhone, use the plus button and the photo or video library.
  2. Select the saved final video. If an HD control is shown, choose HD quality before sending.
  3. Send it to your test recipient and compare the received video with the original.

To make HD your default, open WhatsApp Settings, then Storage and data, then Media upload quality, and choose HD quality. Controls can differ by app version. See WhatsApp’s HD guidance and its editing instructions for Android or iPhone.

Example: select your saved “Aarav and Meera wedding invitation final.mp4”, choose HD if available, and send it to one family member. Ask them to read the venue on the last screen. Do not replace your final export with a downloaded preview.

Do not judge the result only from the small chat preview. Ask your tester to open and play the received video. If the names or venue are still difficult to read, try the Document route next.

Send the saved video as a Document

Use this route when you want to attach the saved video file rather than select it through the ordinary photo and video picker. A video does not need to be converted into a PDF to be sent as a Document.

Find Document on Android

Open the chat and tap the paperclip attachment button. In the attachment menu, choose Document, then select the saved video file.

Example: find “Aarav and Meera wedding invitation final.mp4” in the folder where you saved the designer’s download. Check the filename before sending. If the file picker does not show it, save the final download in an accessible file location first.

Find Document on iPhone

Open the chat, tap the plus button and choose Document. Select the saved video from an available file location, such as iCloud Drive.

Example: choose the final invitation from Files, or use Choose photo or video if your version shows that option and the final video is in Photos. Do not choose Scan document; that is not the route for attaching an existing invitation video.

Check the filename, then send. Ask your tester to download and open the attachment before comparing it. Follow WhatsApp’s attachment instructions for Android or iPhone. This is a file-sharing option to test, not a repair for a blurry original or a guarantee of identical display on every phone.

Tell guests what the attachment contains. For a warmer introduction than “please download”, adapt our WhatsApp wedding invitation messages.

Fix text that is still hard to read

Ask the designer to check the specific screen that fails, rather than simply requesting “more HD”. Give a timestamp and say what you cannot read.

  • Make the couple’s names, event date and venue larger before enlarging decorative text.
  • Move fine lettering away from detailed flowers, glitter or a busy photograph.
  • Split several functions across separate screens instead of shrinking the entire schedule.
  • Hold the details long enough for someone seeing the invitation for the first time to read them.

Keep the venue address and location link in the accompanying message too. Guests should not need to pause an animation while finding the venue.

Check Status separately

A successful chat test does not prove that the same video will look equally clear in Status. WhatsApp’s current HD guidance says HD media is not available for Status updates. Do not rely on the chat HD setting to fix a Status upload.

Use Status as an announcement, then send the full invitation directly to the people invited. Check who can see your Status and leave out private addresses or contact details you do not want that audience to receive. Check the Status preview for cut-off names and missing details. If it needs a shorter layout, ask for a separate version rather than trimming away the time or venue.

Copy ready messages

Ask someone to check the received video

“Could you test this invitation before I send it to everyone? Please open the video and check whether you can read [Names], [Date and time] and [Venue] without zooming. I’m testing [HD video / Document attachment]. If anything is unclear, please tell me which screen and whether the attachment opened normally.”

Send the invitation file to guests

“We’d love you to join us for [Occasion] on [Date] at [Time with AM or PM], at [Venue, City]. Our invitation video is attached as a file; please tap it to download and open it. Venue location: [Maps link]. Please reply by [RSVP date] to let us know if you can come.”

Ask the designer for a targeted fix

“The invitation is difficult to read at [Timestamp], especially [Names / Address / Event schedule]. The saved final file looks [Clear / Blurry], and the copy received through [Standard / HD / Document] looks [Describe result]. Could you check [Source photo / Export / Text size / Contrast / Reading time] and confirm what changes are included? Please send the revised final file with a clear version name.”

Replace the brackets with what you actually tested. For an attendance follow-up later, use a short RSVP reminder rather than sending the whole video again.

Before sending to everyone

  1. Keep one clearly named final file, separate from previews and earlier versions.
  2. Test the exact method you intend to use, with someone else’s phone.
  3. Confirm names, date, AM or PM, venue and RSVP details in both the video and message.
  4. Check that the received file opens and the details are readable. A completed send alone does not prove that.

If guests would rather read the details than open a video file, compare video invitations, PDFs and image cards before choosing a second format. You may only need a simple text message alongside the video.

Start with a clear original, test the received invitation and change only what the test shows is wrong. You do not need to redesign the whole video when the problem is simply how it was shared.

Choose a video when you want a personal announcement with music and movement, a PDF when guests need a detailed schedule, or an image card for one invitation they can read at a glance. The best choice depends on what your guests need to see and do.

Here is the same wedding in all three formats, so you can compare the difference rather than three unrelated designs.

  1. Welcome: “Together with our families, we invite you to celebrate.”
  2. Names: “Aarav and Meera are getting married.”
  3. Ceremony: “14 February 2027 · 6 PM.”
  4. Venue and reply: “Gulmohar Garden, Jaipur. Please RSVP to your host by 7 February.”

What to keep out: a long travel note, every family name and three functions squeezed into one fast-moving frame. Give each event enough reading time or put the full schedule in a separate PDF.

Send with the video: “Please join Aarav and Meera’s wedding on 14 February at 6 PM, Gulmohar Garden, Jaipur. Venue location: [insert the correct Maps link]. Please reply by 7 February to let us know if you can come.”

Make it useful: include only the functions that the recipient is invited to. If guest lists differ, create clearly named versions. Repeat the venue and address for any function held elsewhere.

A PDF can contain working web links, as Adobe’s link guidance explains. A decorative label does not prove a link exists: tap it in the final file on your phone. This works for a guest invited only to the wedding. Do not add the full haldi and sangeet schedule in tiny type. Send the relevant PDF instead.

Send with the card: “We’d love you to join us. Here is the venue location: [insert Maps link]. Please reply by 7 February.” Do not rely on a URL drawn into an image being tappable.

The same approach works for a birthday: replace the couple’s names with “[Child’s name] is turning [Age]” and keep the date, time and venue prominent. Browse birthday image e-cards and use our background guide to keep wording readable against the artwork.

Which combination should you send

  • All three wedding functions: video for the announcement plus the two-page PDF for the schedule. Keep every date and time identical across both.
  • Wedding-only guest: the single image card and a location link may be enough. Do not send a schedule for functions they are not invited to.
  • Simple birthday party: one image card usually does the job. Choose video if you want a themed animated introduction, not because a still card is incomplete.

For later attendance follow-ups, use a short RSVP reminder rather than sending every attachment again.

Before you order and share

Confirm the file type, supported events or pages, total price and delivery option for the design you choose. Then send the final file to one trusted person through your intended WhatsApp sharing method. Ask them to read it and test any links.

File size and clarity depend on the export and how it is shared; no format is automatically the smallest or sharpest. Check names, dates, AM or PM and the venue pin. Use Google’s location-sharing instructions for the map link. If details change, send a clear correction: a new attachment does not replace copies guests have already saved.

Polite RSVP Reminder Messages for WhatsApp

Your invitations are out, but a few replies are still missing. You need a guest count without making anyone feel chased. A useful reminder names the event, asks one clear question and gives a real reply deadline. Send it privately to the people whose answers you still need.

The messages below cover overdue replies, uncertain plans and incomplete family counts. Replace the brackets before sending. If you have not sent the invitation yet, start with our WhatsApp wedding invitation guide instead.

When to follow up

Check your original deadline first. A guest who has not replied before that date is not late. If you send a gentle nudge beforehand, keep the agreed deadline rather than inventing urgency. After it passes, a private follow-up is reasonable; Paperless Post’s wedding RSVP guide includes advice on contacting guests who have not responded.

  1. Check your messages and any RSVP form before following up. Someone may have answered your partner or another host.
  2. Work backwards from the actual venue, caterer or activity-provider deadline. Leave yourself time to contact people and check the totals.
  3. Ask for a yes or no by a specific date and time. Use “Thursday 12 November, 6 pm” rather than “ASAP”.
  4. If there is still no answer, try a short call or another familiar contact method before treating the place as unconfirmed.

Wedding replies and family counts

Use the names on the original invitation. “How many of you are coming?” can accidentally suggest that extra guests are welcome. If you need attendance for several functions, list only those the recipient was invited to. 1. The RSVP date has passed

Hi [Name], we haven’t recorded your reply for [Couple]’s wedding on [Event date]. Could you let me know by [Reply date and time] whether you can attend? A yes or no is helpful either way. If you’ve already replied to someone else, please tell me so I can update our list.

2. One person replied for an invited couple

Hi [Name], thanks for confirming you’ll be there. May I check whether [Partner’s name] will also attend the wedding on [Event date]? I’m recording each invited guest separately. Please let me know by [Reply date and time].

3. Different family members are attending different functions

Hi [Name], could you help me check the attendance for [Invited names]? Please reply with the names attending each function by [Reply date and time]: Mehndi on [Date]: [names or none]; Wedding on [Date]: [names or none]; Reception on [Date]: [names or none]. We’re making a separate guest list for each event. Thank you!

Birthday replies from parents and guests

For a child’s party, contact the parent or guardian who received the invitation. Separate the child’s attendance from an adult’s place if both were invited. Agree supervision with the parent before treating a child’s place as a drop-off booking. Check the actual activity or meal-booking deadline before asking for a final answer. 4. A parent has not replied

Hi [Parent’s name], I’m booking the activity places for [Birthday child]’s party on [Event date]. Will [Invited child] be joining us? Could you reply yes or no by [Reply date and time]? Please let me know if you need the invitation details again.

5. The child is confirmed but the invited adult is not

Hi [Parent’s name], lovely that [Child] can come on [Event date]. The invitation includes [Invited adult’s name] too. Will [Invited adult’s name] also be attending? Please confirm by [Reply date and time] so I can get the numbers right.

6. An adult birthday meal needs a final booking count

Hi [Name], I’m confirming the table for [Birthday person]’s birthday meal on [Event date]. Can I include you in the booking? Please let me know by [Reply date and time]. If you can’t make it, that’s absolutely fine; I just need to give the restaurant an accurate number.

Maybe replies and missing details

A reaction or a friendly “sounds lovely” does not answer the attendance question. Ask only for what is missing. Do not ask someone to justify a decline: Emily Post’s RSVP guidance explains that an invitation can be declined without a detailed excuse. 7. The guest said maybe

Hi [Name], you mentioned you were waiting to confirm your plans for [Event] on [Event date]. Have you had a chance to decide? We need the final numbers by [Reply date and time]. Please let me know whether I can count you in by then.

8. The guest reacted but did not confirm

Hi [Name], thanks for your lovely message about [Event]. Just checking the attendance part: will you be able to join us on [Event date]? A quick yes or no by [Reply date and time] would help me finish the guest list.

9. The reply says “we’re coming” but names are missing

Hi [Name], thank you! To make sure I’ve understood correctly, are [Invited name one] and [Invited name two] both attending [Event] on [Event date]? Please confirm the names by [Reply date and time] so I record the right number.

The final deadline and late replies

Use a final-cutoff message only when there really is a deadline and you have checked earlier replies. Explain what will happen; do not silently assume a guest has declined. If your invitation went through a family member, check directly where possible. This is different from a reminder sent to confirmed guests with directions, which is covered in our WhatsApp wedding messages guide.

10. You must close the guest count

Hi [Name], I need to submit the final numbers for [Event] on [Event date] by [Cutoff date and time]. Please let me know before then if you can attend. If I don’t hear from you, I’ll have to leave you out of the confirmed count. If you’re having trouble replying, you can call me on [Number].

11. A yes arrives after the count is closed

Hi [Name], thanks for letting me know. We’ve already submitted the final numbers for [Event], so I need to check whether another place is possible. Please don’t make arrangements yet; I’ll get back to you by [Time you can genuinely meet].

12. A guest declines after your reminder

Thanks for letting me know, [Name]. I’ve updated the guest list. We’ll miss you at [Event], and I hope we can catch up another time.

A simple way to track responses

Keep one shared list for the hosts rather than separate guesses in different chats. You only need the invited names, event, reply status, confirmed count, last contact and next action. Use separate rows for functions with different attendance. Do not copy private reasons for declining into a widely shared sheet.

After each reply, update the list and stop reminders for that person. Before sending, check the recipient, event date, invited names and deadline, and remove every bracket. Send a private message rather than calling out unanswered RSVPs in a group.
